Privacy policy of Pride Business Forum

I.
Scope of personal data protection
1.1. The provisions on personal data protection apply only to the Customer who is a natural person.
1.2. To a reasonable extent, the provisions on personal data protection also apply to collaborators (natural persons) and employees of a Customer who is a legal entity.
II.
Legal framework for personal data protection
2.1. Personal data protection is provided under:
a) Regulation (EU) 2016/679 of the European Parliament and of the Council on the protection of natural persons with regard to the processing of personal data and on the free movement of such data (General Data Protection Regulation – GDPR), and
b) Act No. 110/2019 Coll., on the Processing of Personal Data.
III.
Personal data
3.1. By registering, the Customer acknowledges that the following personal data will be processed:
a) First and last name
b) Date of birth
c) Residential address
d) Email address
e) Phone number
f) Employer’s name
g) Job position with the employer
3.2. The Customer acknowledges that they are obliged to provide accurate and truthful personal data and to notify Pride Business Forum without undue delay of any changes to their personal data.
3.3. By registering and subsequently submitting an order, the Customer confirms that the personal data has been provided voluntarily.
IV.
Entities processing personal data and transfer of personal data
4.1. Pride Business Forum acts as the controller of personal data.
4.2. The processing of personal data is carried out by Pride Business Forum; however, the following processors may process the data on behalf of Pride Business Forum:
a) Microsoft (software provider)
b) IT system maintenance providers
c) Other providers of processing software, services, and applications currently not used by Pride Business Forum
4.3. Recipients of personal data may include:
a) Pride Business Forum employees and collaborators
b) Partner entities within the PBF
c) Public authorities (e.g., courts, administrative bodies)
d) Pride Business Forum’s accountant
e) Pride Business Forum’s tax advisor
f) Pride Business Forum’s legal advisor
g) Other recipients as needed and instructed by the Customer
4.4. Personal data will not be transferred outside the territory of the European Union.
V.
Legal basis and purpose of personal data processing
5.1. The legal basis for processing personal data includes:
a) Customer registration in case of interest in cooperation with PBF
b) Contract
c) Consent, if granted by the Customer (see Article IX of these Terms and Conditions)
5.2. Personal data is processed for the purposes of:
a) PBF activities
b) Exercising rights and obligations arising from the Contract
c) Marketing purposes, if consent is given (see Article IX of these Terms and Conditions)
VI.
Method of personal data processing
6.1. Personal data will be processed electronically using automated means and in printed form using non-automated means.
VII.
Data detention period
7.1. In connection with the Customer’s registration and interest in cooperation with PBF, personal data will be processed for the duration of the Customer’s cooperation with PBF and for the period necessary to fulfill Pride Business Forum’s legal obligations and to assert or defend its rights arising from such cooperation, for a reasonably long period after termination.
7.2. In the case of a Contract, personal data will be processed for the duration of the Contract and for the period necessary to fulfill legal obligations and protect rights, including for a reasonable time after its termination.
7.3. If a Ticket is returned by the Customer, the personal data will be processed for a maximum of five years from the date of return.
7.4. Thereafter, the personal data will be handled in accordance with applicable legal regulations.
VIII.
Customer’s rights
8.1. The Customer has the rights defined in this article.
8.2. The Customer has the right to access their personal data, meaning they can obtain information from Pride Business Forum about whether their data is being processed, and if so, what data and how. If requested, Pride Business Forum must provide this information, and may charge a reasonable fee not exceeding the cost of providing the information. The Customer also has the right to have inaccurate personal data corrected and to complete any incomplete data.
8.3. The right to erasure means Pride Business Forum must delete the Customer’s personal data upon request, provided the legal conditions are met. However, during the term of a Contract, the Customer cannot request erasure of data necessary for the performance of the Contract.
8.4. The Customer may request that Pride Business Forum restrict the processing of their data in certain cases. They may also object to processing based on legitimate interest, public interest, or official authority.
8.5. The right to data portability allows the Customer to obtain their personal data in a commonly used machine-readable format and transfer it to another controller, or request that controllers transfer it between themselves, if technically feasible.
8.6. The right to withdraw consent at any time does not apply here, as the data is processed for Contract performance, not based on consent.
8.7. If the Customer is dissatisfied with how their data is processed, they may file a complaint with Pride Business Forum or contact the Office for Personal Data Protection.
8.8. More information about the Customer’s rights is available on the website of the Office for Personal Data Protection (https://www.uoou.cz/en/).
IX.
Consent to personal data processing for marketing purposes
9.1. The Customer may indicate consent in the Order to process their data for marketing purposes — e.g., to receive information related to Pride Business Forum’s services, activities, or events (such as newsletters), and for purposes such as customer satisfaction surveys, market research, advertising, database building, and statistics.
9.2. If consent is given, the Customer agrees to the processing of their data for the stated purposes and to the sending of such information.
9.3. If the Customer is under 15, parental consent is required.
9.4. The data covered by consent can be processed for up to five years from the date consent was granted.
9.5. The Customer can withdraw consent at any time, either in writing or via email, sent to the office address or info@pridebusinessforum.com.
9.6. Pride Business Forum never shares data with third parties for direct marketing unless the Customer gives explicit consent.
9.7. Articles I through VIII of these Terms and Conditions apply accordingly to data processing based on consent.
